Special instructions for the new mail server mail3.tio.com
The new mail server mail3.tio.com offers a number of new features that will
make working with your email service easier.
Users can now perform the following tasks without needing to contact Tiocom :
1. Add additional email users (your account may have a limit as to the number
of additional accounts allowed)
2. forward email for an email address to another location, permanently
or temporarily (for example you can set bob@yourdomain.com to forward to bob@aol.com)
3. set up auto-responders
4. Users can log in through a web browser and change their email passwords
5. Delete old email accounts
6. Have what is know as "star addressing" so that you can receive all mail
sent to anything@yourdomain.com using what is know as the catchall feature
7. Full access by one individual within your office to all of your email accounts.
8. Each individual user can now change his or her own password
If you to have access to these features and are currently receiving email
from the mail server named mail.tio.com - you will need to be switched to
mail3.tio.com. We would perform the switch when you request it, but we suggest
that you perform the switch as soon as possible.
Anytime there are changes there will invariably be some problems for some users.
Overall this system will add many features to your existing account, without
additional charges. We will do all we can to make the transition smooth,
but we ask that you be patient as we work with you through the conversion process.
Some of the main changes that you an users within your office will have to make are :
1. Changing the incoming mail server to : mail3.tio.com
2. Set the outgoing mail server to mail3.tio.com
2. Creating the new email accounts and passwords on the new mail server (mail3.tio.com)
for each user in your office that is using email
3. Provide each user in your office with the new mail server name, so that they can change
the settings in the email program that they use. Providing them with a new password as necessary.
Setting your mail client (like Netscape, Outlook Express, Eudora) program to
retrieve mail from mail.3.tio.com :
Once your domain name has been altered so that mail is handled by mail3.tio.com the
user much change the following settings in their email program :
1. Change the incoming mail server(POP3) to : mail3.tio.com
2. Change the outgoing mail server (SMTP) to : mail3.tio.com
2. Change the username (in your email program ) to the format of :
username%yourdomain.com
Important - this is different than the past. You should enter your entire email address
- replacing the @ sign with % where you are asked to enter your username. In the past you
may have simply been entering something like "bob" for your username if your email address
was "bob@yourdomain.com". You need to now enter your entire domain name as part of your
user name to gain access - with the replacement of @ with the %.
3. Change the password - the Administrative user (catchall@yourdomain.com) can log
in through the web interface to set up and alter email accounts and forwarding for
your domain name (www.yourcompany.com) - see the section "Administering email for
your domain name" to see how.
Administering email for your domain name :
1. Contact Tiocom to initiate the change. We will set up your initial accounts on mail3.tio.com
2. Log in to the web interface by accessing the following URL
http://mail3.tio.com:90
You will be asked to enter your username and password.
You should log in with username in the format
catchall@yourdomain.com
and your new administrative password (which we will provide you with)
The "catchall" account is a special account with special administrative features.
The "catchall" user has complete control over all of the email addresses for your domain name.
Creating a new email account :
To create a new email account type in the username that you would like to create.
You can not use spaces in the email address. Type the name you would like -
remember you are creating name@yourdomain.com then click the "Add" button.
You have created a new pop email account. The next step is to enter information
for the email account and assigning a password. Under the heading "Editing and Deleting
Mailboxes" select the name that you have just created and click the "Edit" button.
You will be provided with a screen where you can edit the information for the email
address you have just set up. You should set some password for it. Choose one that
is not easy to guess, preferably with upper/lowercase and symbols like %!$ to make it
difficult for unwanted users to gain access. If you want email for that address
to forward to another email address - enter the address you want it forward to.
IMPORTANT : If you want the email address to forward to another address you should
place a check the setting which says "Do not deliver to this mailbox" to avoid having
all of the messages stored on the server as well. There is limited space for message storage,
so if you set up a forward and don't check this setting your mail files will have
a copy saved on mail3.tio.com as well - which over time will consume your mail quota for
available disk space.
The special catchall email address :
When you log in through the web interface you will see that there is by default
a user called catchall (which you used to log in) The catchall is a special account
that receives all email address for your domain name that have not been specifically set up.
For example if someone sends email to sales@yourdomain.com - and you have not yet created
a user called sales - then the catchall account will receive the email. Say that your name
is fred@yourdomain.com. Often a good idea is to modify the catchall account so that it
forwards to you (make sure to check the box that says "Do not deliver to this mailbox" under
the settings for the catchall user if you decide to set it up as a forward) that way
you will receive all of the email that is sent to addresses that you have not
specifically set up for.
To set catchall to forward to one of the other email addresses - log in through
the web interface at http://mail3.tio.com:90 and then select the catchall mailbox.
Select edit, and then fill in the complete email address where you want catchall
to forward to. ( again - make sure to check the box that says "Do not deliver to this mailbox"
under the settings for the catchall user if you decide to set it up as a forward)
